DentalSource, Inc. ("DentalSource," "we," "us," or "our") is committed to protecting the privacy of the licensed dental professionals and other users who access our platform. This Privacy Policy explains how we collect, use, store, and protect information when you use dentalsource.ai and the Services we provide. By using DentalSource, you agree to the collection and use of information as described in this Privacy Policy.

1. Information We Collect

We collect the following categories of information when you use DentalSource:

Information you provide directly:

• Email address — when you sign up for our waitlist, join an early access program, or otherwise voluntarily provide your email address to receive updates from DentalSource.
• Account information — if you register for an account, we collect the information you provide during registration, such as name and professional credentials.

Information collected automatically:

• Search queries and clinical questions — the questions and queries you submit to DentalSource may be logged to improve the quality and relevance of our AI models and Services. We do not use query data to identify individual users for marketing purposes.
• Usage data and analytics — we collect standard web analytics information, including pages visited, features used, session duration, browser type, device type, and operating system, to understand how users interact with the platform and to improve the Services.
• IP addresses — we log IP addresses for security purposes, including fraud detection, abuse prevention, and compliance with legal obligations. IP addresses may be used to infer general geographic location (city or country level) for analytics purposes.
• Cookies and similar tracking technologies — as described in Section 3 below.

Information we do not collect:

• We do not accept or process Protected Health Information (PHI) as defined under the Health Insurance Portability and Accountability Act (HIPAA).
• We do not collect patient names, dates of birth, Social Security numbers, insurance identifiers, or any other patient-identifying information.
• We do not collect payment card information directly — if we implement paid features in the future, payment processing will be handled by PCI-compliant third-party payment processors.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To provide and operate the Services — processing your queries, generating AI-powered clinical summaries, and delivering the features and functionality of the DentalSource platform.
• To improve and develop the Services — analyzing usage patterns, identifying areas for improvement, refining our AI models, and developing new features that better serve licensed dental professionals.
• To communicate with you — sending waitlist notifications, product updates, service announcements, and responses to inquiries you submit. You may opt out of marketing communications at any time by following the unsubscribe instructions in any email we send.
• For security and fraud prevention — monitoring for suspicious activity, protecting the integrity of the Services, and preventing unauthorized access or misuse.
• To comply with legal obligations — responding to lawful requests from government authorities, complying with applicable laws and regulations, and enforcing our Terms of Service.

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

3. Cookies and Tracking Technologies

DentalSource uses cookies and similar tracking technologies to support basic platform functionality and analytics. Specifically, we use:

• Session cookies — temporary cookies that expire when you close your browser, used to maintain your session and enable core platform functionality.
• Analytics cookies — cookies used to collect aggregate, anonymized information about how users interact with the platform (e.g., page views, session duration, feature usage). We use this data solely to improve the Services.

We do not use advertising cookies, cross-site tracking cookies, or cookies that enable behavioral advertising or retargeting. You can configure your browser to refuse cookies or to alert you when cookies are being sent; however, some features of the Services may not function properly if you do so.

4. PHI Policy — Protected Health Information

DentalSource explicitly does not accept Protected Health Information (PHI) as defined by HIPAA, and is not designed or intended to be used as a HIPAA-covered service. Our platform is designed for general clinical decision support based on publicly available dental literature — not for queries involving identifiable patient data.

We have built-in safeguards designed to detect and flag queries that appear to contain PHI (such as patient names, dates of birth, or other identifiers). If such content is detected, the query may be rejected or flagged.

By using DentalSource, you agree not to submit any patient-identifying information, patient records, or PHI through the Services. If you inadvertently submit PHI, please contact us immediately at peter@dentalsource.ai so that we can take appropriate steps to address the situation.

DentalSource is not a Business Associate under HIPAA and does not execute Business Associate Agreements (BAAs). Do not use DentalSource in any manner that requires a BAA.

5. Data Security

We implement industry-standard technical and organizational security measures designed to protect your information from unauthorized access, disclosure, alteration, and destruction. These measures include encrypted data transmission (HTTPS/TLS), access controls, and regular security reviews.

However, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee its absolute security. In the event of a data breach that affects your rights or freedoms, we will notify affected users as required by applicable law.

6. Third-Party Services

DentalSource uses the following third-party services in the operation of our platform. Each of these services has its own privacy policy governing how they handle data:

• Anthropic (Claude AI) — we use Anthropic's large language model API to generate AI-powered clinical summaries in response to your queries. Queries you submit may be transmitted to Anthropic's API for processing. We encourage you to review Anthropic's privacy policy at anthropic.com/privacy.
• Hosting and infrastructure providers — our platform is hosted on cloud infrastructure services that process data on our behalf subject to data processing agreements.
• Analytics providers — we may use third-party analytics services to help us understand usage patterns. Any such services are configured to anonymize or pseudonymize data where possible.

We do not share your personal information with third parties except as described in this Privacy Policy, as required by law, or with your explicit consent.

7. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy, to provide the Services, and to comply with our legal obligations. Email addresses collected through waitlist signups are retained until you request deletion or we discontinue the relevant service. Anonymized and aggregated usage data may be retained indefinitely for analytics and product improvement purposes.

8. Children's Privacy

DentalSource is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we become aware that we have collected personal information from a minor without verification of parental consent, we will take steps to delete that information. 9. Your Rights and Choices

Depending on your jurisdiction, you may have certain rights with respect to your personal information, including:

• Access — the right to request a copy of the personal information we hold about you.
• Correction — the right to request that we correct inaccurate or incomplete personal information.
• Deletion — the right to request that we delete your personal information, subject to certain legal exceptions.
• Opt-out of marketing communications — you may unsubscribe from marketing emails at any time using the unsubscribe link included in every marketing email, or by contacting us directly.
